Any <br />compromise of Confidential and/or Personably Identifiable Information shall be immediately <br />reported to the supervisor. <br />5. Request software installations on SSA computers, laptops, tablets and other dev ices from an <br />authorized agent of the SSA Information Technology team. DO NOT INSTALL ANY <br />software/application into County SSA devices. <br />6. Seek permission from SSA Information Technology team prior to copying a County -owned <br />software/application. <br />7. Use of any County electronic communication systems is for business use only; any personal <br />use shall not disrupt or interfere with County operations or job responsibilities. <br />IV. PROCEDURE <br />A. The following steps shall be undertaken to ensure that the above policy is enforce d to all SSA <br />County employees. Prior to a new employee gaining access to Confidential Information, the <br />SSA Human Resources (HR) representative or designee shall: <br />1. Provide new employees with access to the SSA I-6 Policy and Procedures document, the ITSP, <br />County of Orange (Attachment I) and the County of Orange Information Technology Usage <br />Policy (Attachment II) with instructions for the new employee to read and sign the SSA <br />Information Technology Security and Usage Agreement (Attachment III). Upon the new <br />employee’s signing of SSA Information Technology Usage Agreement form, the HR <br />representative or designee shall counter-sign the completed form. <br />2. Have the new employee read and sign the Orange County Social Services Agency <br />Confidentiality of Client Information (Attachment IV). <br />3. Confirm that the new employee complete the review of the SSA Information Security Rules <br />of the Road (Attachment V) located in the Training section of the SSA Intranet at <br />http://ocssa/intranet/sites/default/files/Files/administrative/content/I.... <br />4. File the signed SSA Information Technology Usage Agreement (Attachment III), the signed <br />Orange County Social Services Agency Confidentiality of Client Information (Attachment IV) <br />and documentation of completion of SSA Information Security Rules of the Road <br />(Attachment V) in the employee’s personnel file. <br />B. The supervisor of an SSA contracted employee, volunteer, intern, and all other non-County <br />employees shall undertake the following steps to ensure that the above policy is enforced. <br />Prior to a workforce member gaining access to Confidential Information, provide them with <br />the following documents to read: <br />1. Administrative Policies and Procedures Manual I-6 Information Technology Security and <br />Usage;
