4 ACCENT ON <br />LANGUAGES <br />• Training and Transition Refinement (Weeks 5-8): <br />o Refine and conduct training sessions for Language Access Coordinators and Site <br />Managers. <br />o Enhance transition discussions with departments, incorporating lessons learned <br />from the existing contract. <br />• Continuous Improvement Initiatives (Week 9 Onward): <br />o Implement improvements based on feedback and identified areas for <br />enhancement. <br />o Maintain ongoing evaluation and feedback sessions to ensure sustained service <br />excellence. <br />• Regular Collaboration (Throughout Renewal): <br />o Maintain periodic meetings with the City to address evolving needs and ensure <br />continuous improvement. <br />o Leverage existing relationships to streamline communication and optimize <br />services. <br />Key Personnel Assignments <br />• Account Manager: <br />o Primary point of contact, leveraging existing relationships for smoother <br />transition. <br />o Focuses on continuous improvement initiatives and addressing evolving City <br />needs. <br />• Project Managers: <br />o Retain their roles in close collaboration with Language Access Coordinators and <br />agency and department Managers. <br />o Emphasize ongoing training and proactive engagement. <br />Milestones <br />• After 6 months, Accent recommends holding a mid-term meeting with the City to <br />discuss progress, achievements, goals, and any other concerns of the City. We also <br />recommend holding a contract closure meeting to evaluate the contract and provide <br />improvement actions to the City for future use at its discretion. <br />Continuous Quality Commitment <br />• Accent will prepare a Quality Control Plan (QCP) to serve as framework for the entire <br />contract.
