SOLICITATION # CH16012 <br />Backups are performed daily at each data center facility without stopping access to the <br />application. Backup cloning is transmitted over an encrypted network (our MPLS network across <br />all data centers). Tapes never leave our secure data center facilities, unless they are to be retired <br />and destroyed through a secure destruction process. <br />The backup retention policy is 90 days (30 days for sandboxes). Deleted / modified data cannot be <br />recovered after 90 days (30 days for sandboxes). If customers want a longer retention, they can <br />use the weekly export feature available in the system. <br />ServiceNow <br />While Advanced High Availability as described in 8.8.1 is the primary means to recover data and <br />restore service in the case of a service disruption, in certain cases it is desirable to use <br />ServiceNow's more traditional data backup and recovery mechanism. This data backup and <br />recovery system works in concert with AHA and acts as a secondary recovery mechanism. <br />ServiceNow stores production instances in two geographically separate regional data centers, with <br />sub -production instances hosted in a single data center. Backups of the two production databases <br />and the single sub -production database are taken everyday for all instances throughout the private <br />cloud infrastructure. <br />The backup cycle consists of four weekly full backups and the past 6 days of daily differential <br />backups that provide 28 days of backups. All backups are written to disk, no tapes are used and <br />no backups are sent off site. All the controls that apply to live customer data also apply to <br />backups. If data is encrypted in the live database then it will also be encrypted in the backups. <br />Regular, automated tests are run to ensure the quality of backups. Any failures are reported for <br />remediation within ServiceNow. <br />QTS <br />QTS operates and manages high-performance, multi -tenant platforms on which customer system <br />and data file backups can be created and retained for rapid restore of files/volumes. Data can be <br />stored on tape or disk, depending on QTS location, and can reside locally in a QTS data center or <br />off -site. If there is a need for off -site data retention, the backup medium is tape. QTS can also <br />replicate the backed up data from the primary site to a secondary (remote) site to address <br />geographically remote storage and DR requirements. <br />Secure: QTS utilizes a separate, secure gigabit backup network with private VLAN security. <br />Physical security is monitored using a priority badge access system to limit access to the tape <br />libraries, disk arrays, servers, and network infrastructure. From the application, the backup <br />software controls access to the data stored on tape, and access security is limited to QTS staff <br />only. <br />Scalable: QTS backup systems are highly scalable, and capacity can be quickly added as needed. <br />SAP <br />Ariba <br />Our primary data center is Equinix, in San Jose; CA. Ariba's backup data <br />center is CenturyLink in Sterling, VA.
