Allocation plans should be updated on a quarterly basis for <br />contract additions and terminations and material modifications. <br />The following represents guidelines for determining appropriate <br />basis for allocating shared cost. <br />a. Labor distribution follows the actual amount of time staff <br />spends on grants and contracts. It is also required to have one <br />at each location with two or more staff. <br />b. Space related expenditures should be allocated on the basis <br />of how much space different programs use. However, if one <br />program occupies a particular space but is finded by various <br />finding sources, a second basis must be used to allocate <br />shared expenditures appropriately. "Full Time Equivalent" <br />(FTE) or "Direct Expense" may be used as a basis to space <br />allocation. <br />c. Direct expenditures are allocated on the basis of measuring <br />the actual usage of that cost. The expense is then directly <br />charged to the program, However, if one program uses a <br />particular item but is funded by various funding sources, a <br />second basis must be used to allocate shared expenditures <br />appropriately.
