RECOMMENDED ACTION
Renew the contract with P. L. Hawn Co., Inc. for air conditioning
filters for a one-year period in an amount not to exceed $40,714
annually.
DISCUSSION
The Building Maintenance Section of the Finance and Management Services
Agency maintains the heating, ventilation, and air conditioning (HVAC)
systems in various City buildings. These contain a variety of air
filters that are replaced several times annually to ensure a clean work
environment. The contract for HVAC filters is designed to provide
quality products at significant savings based on quantity pricing.
On January 16, 2001, the City Council awarded a contract to P. L. Hawn
Co., Inc. for a two-year period with provision for two one-year
renewals. This is the final renewal option. The vendor has performed
satisfactorily during the past contract period.
FISCAL IMPACT
Funds are available in the Building Maintenance Machinery & Equipment
Maintenance and Repair account (account nos. 73-105-6281).
