Award a contract to Adelphia, Inc. d/b/a/ Chandler's Air Conditioning and
Refrigeration for heating, ventilation, and air conditioning maintenance
and repairs for a two-year period with provision for two one-year renewals
in an annual amount not to exceed $60,000 annually.
DISCUSSION
The City maintains in excess of 50 buildings, including City Hall, the
Corporate Yard, the Police Administration and Holding Facility, fire
stations, recreation and senior centers, libraries, and park facilities.
Blanket Order Lists consisting of vendors that provide supplies and
services required by agencies on a consistent basis are established
annually. Various agencies throughout the City utilize heating,
ventilation, and air conditioning (HVAC) systems that require maintenance
to ensure maximum efficiency and operational reliability. The contract
provides service, maintenance, parts and unit replacement as required.
The notice inviting bids was advertised on December 24, 2008 and bids were
solicited. A summary of the bid invitations and bids received is as
follows:

Bids were received and opened on January 13, 2009 and evaluated (Exhibit
1). The bid received from Chandler's Air Conditioning, a Santa Ana vendor,
is responsive to the specification and meets the City's requirements.
FISCAL IMPACT
Funds are to be charged back to various departmental Maintenance & Repairs
of Buildings & Grounds accounts (object code 6261).
