Finance and Management Services <br /> www.santa-ana.org/finance <br /> Item # 10 <br /> City of Santa Ana <br /> 20 Civic Center Plaza, Santa Ana, CA 92701 <br /> Staff Report <br /> June 2, 2026 <br /> TOPIC: Reprographic Paper and Envelopes <br /> AGENDA TITLE <br /> Purchase Order Contract with Veritiv Operating Company for Reprographic Paper and <br /> Envelopes (Specification No. 26-062) (General Fund and Non-General Fund) <br /> RECOMMENDED ACTION: <br /> Award Purchase Order Contract to Veritiv Operating Company for Reprographic Paper <br /> and Envelopes for a one (1)-year term in an amount of$107,000 beginning June 2, 2026 <br /> and expiring June 1, 2027, with provisions for three (3), one (1)-year renewal options, in <br /> a total amount not to exceed $428,000. <br /> GOVERNMENT CODE 484308 APPLIES: No <br /> DISCUSSION: <br /> The Finance and Management Services Agency's Central Services Division requires <br /> copier, laser, and specialty papers to provide copy paper and in-house duplicating <br /> services for departments throughout the City. In addition, the Police Department's Central <br /> Distribution Center and Jail Operations stocks copy paper for the Police Department and <br /> Holding Facility, respectively. <br /> Santa Ana Municipal Code, Section 2-807(d) authorizes the City to purchase against <br /> contracts from any public agency utilizing a competitive bid process. The County of <br /> Orange, a cooperative government purchasing agency, awarded a contract to Veritiv <br /> Operating Company (MA-031-26010436) as a result of an open, competitive bidding on <br /> behalf of its members, which includes government agencies. <br /> Staff researched available procurement options and determined that Veritiv Operating <br /> Company meets the City's specifications and can provide the Reprographic Paper and <br /> Envelopes to be utilized by the Finance and Management Agency — Central Services <br /> Division. By leveraging the procurement power through cooperative purchasing, the City <br /> of Santa Ana is able to obtain nationally vetted, high quality products at competitive <br /> volume pricing, and is in accordance with the City's existing Purchasing Guidelines. <br />
