Boris Duran Date: July 8, 2015 Subject: CopWare Agreement Extension Background: The Department uses software from CopWare, Inc. to provide an electronic Legal Sourcebook to personnel. This system contains information including California legal codes as well as case law. In June, 2014, the City entered into an agreement with CopWare (N-2014-084) that provides us access to this system. The agreement allowed for one year of access for $ 6,180. The agreement also allows for two additional one-year extensions, which the City may exercise at its option. Each subsequent year would cost an additional $ 6,180. The combined cost of the three years would be $18,540, which is less than the $ 25,000 threshold requiring Council approval. Recommendation: I recommend we exercise our option to extend the agreement by an additional year (i.e. year two of three available under the agreement) for the additional cost of $ 6,180. The extension letter has been composed and signed by Sr. Asst. City Attorney Laura Rossini. The next step is for you, Chief, to sign indicating your approval. From there, the letter can be submitted to City Hall for the review of the Clerk of the Council, followed by the review, approval, and signature of City Manager Cavazos. N-2014-084-001
