Re: Renewal of Software Support and Year 2000 Readiness Disclosure
Dear Anna:
Your organization utilizes a VisiCAD Computer -Aided Dispatch System and has a contract for software
support and maintenance. According to our records, your Software Support and Maintenance
Agreement will expire on October 31, 1999 unless you take the necessary steps to extend the
Agreement. If your support renewal documents and payment are not received by the expiration date of
the current agreement, you will not have support for this mission critical system. Additionally, failure to
take immediate action on your renewal means you will lose the option to either receive a discount on your
support fee or to exercise the option to make quarterly payments.
Your Support and Maintenance Agreement allows you to take advantage of the services provided by
TriTech Software Systems' Technical Support Staff. This includes an annual site visit of up to three (3)
business days to assist you with technical support issues.' Additionally, you will enjoy the benefits of
software enhancements as we continue to improve the product.
To renew your Support and Maintenance Agreement, and to assure seamless software technical services
coverage, please complete and sign the TriTech Support Services Renewal Agreement attached to this
letter (with any accompanying documents attached to that agreement) (collectively the "Renewal
Documents") and return both original signed agreements with, if possible, your payment to our office.
We will sign the Agreements and return one original to you for your records.
If you act immediately, you have some options for payment of your renewal of VisiCADTM Support
Services. If you return your signed TriTech Support Services Renewal Agreement with your payment
by October 15, 1999 you can either:
1) Elect to pay your standard support fee for technical services on a quarterly basis; or
2) Elect to make your full annual standard support fee early and receive a 2 %% discount on your annual
support fee.
' Travel related expenses for site visits are not included in the annual support fee and are the
responsibility of the Client. Actual travel expenses incurred for site visits will be invoiced separately to

If we have not received your signed TriTech Support Services Renewal Agreement with your payment
by October 15, 1999 you will be invoiced for your full annual standard support fee and will lose the
option to have a discount or to make quarterly payments. Therefore, rapid action on this renewal is to
your benefit.
Based upon your existing Software licenses, your annual support fee is $55,422. Payment of this fee
extends coverage of the original software license and/or support agreement, through October 31, 2000.
Please find the enclosed self-addressed stamped envelope for your convenience. If we have not received
your Renewal Documents and payment before your Software Support and Maintenance Agreement
expires, we will be forced to discontinue support for your VisiCAD System.
If you are considering not renewing annual Software Support for VisiCAD, I must advise you that any
later resumption of such support after an interruption will require the payment of all past annual support
payments for periods during which you did not have an annual Software Support Agreement in force.
This policy is necessary in order to share fairly, among the Client base using VisiCAD, the cost of the
substantial resources we devote to the continued development, enhancement and support of VisiCAD.
Year 2000 Readiness Disclosure. As you know, one of the services provided for clients on Software
Support is TriTech's update service. For version 2 clients, this update service is particularly important
with respect to Year 2000 Compliance. As discussed in TriTech's Year 2000 Readiness Disclosure.
VisiCAD versions 2.11 and greater are Year 2000 Compliant (as that term is defined therein). Clients on
earlier versions of VisiCAD must update in order to have the benefit of this warranty. Therefore, it is
particularly important for you to renew annual Software Support to have access to updated versions of
VisiCAD. Please contract TriTech if you have not received your copy of the Year 2000 Readiness
Disclosure.
I look forward to the coming year when we incorporate ideas suggested by you and your peers in the
Public Safety Community as we further develop and enhance VisiCADTM.

Client agrees to renew its Agreement for VisiCAD TM Support Services according to the terms herein and
the terms of the current Software Support Agreement, which terms are incorporated by reference herein
as though set forth in fill. This Support Services Renewal Agreement must be signed and returned by
October 15, 1999. The effective date of this support renewal is November 1, 1999. The extended support
term expires on October 31, 2000.
Client desires to participate in TriTech's early support renewal program. Client agrees to pay its support
fee by October 15, 1999 in order to be eligible for one of the following payment options (check one):
_ Single annual payment of $54,036.45 (includes a 2-%a% discount if paid by October 15, 1999).
Four (4) quarterly payments of $13,555.50 totaling an annual support fee of $55,422 (the first
payment is due by October 15, 1999).
.Client acknowledges that failure to meet the early payment requirements will result in Client being
invoiced for the full annual standard support fee and Client will lose the option to have a discount or to
make quarterly payments.
Based upon your existing Software licenses, the annual support fee is $55,422. Payment of this fee
extends coverage of the original software license and/or support agreement, through October 31, 2000.

RECOMMENDED ACTION
Renew the existing agreement with TriTech Software Systems for
maintenance of the Fire Department's VisiCAD computer aided dispatch
system for a one year period in the amount not to exceed $55,422.
On March 19, 1999, the City Council approved a software maintenance
agreement with TriTech Software Systems, with a provision for two one-
year renewals. The Fire Department uses the VisiCAD software to maintain
vehicle status and tracking to more accurately dispatch the closest
unit(s) to an emergency incident. The software maintenance agreement
provides the Fire Department with seven days per week, 24 hours per day
technical support, software product enhancements, and up to three
business days of on site technical support.
The vendor has performed in a satisfactory manner and staff is
recommending approval of the first renewal period for the contract.
FISCAL IMPACT
Funds are available in the Fire Communications Contractual services
(account no. 11-322-6291).
