As an additional step in our quality control process, our Specialists will receive the <br />following customized City orientation prior to starting a City assignment: <br />• General orientation and Helpmates Specialist handbook review <br />• Specific orientation and Specialist review of the Helpmates customized City <br />employee orientation brochure, including dress code requirements <br />• Prior to starting a City assignment, there is an email confirmation with the <br />assignment details (Assignment Acceptance Start Sheet), sent to the assigned <br />Helpmates Specialists <br />• Disbursement of employee ID badge, parking pass, etc., if appropriate <br />We have included samples of the following in the Helpmates Sample Section of this <br />proposal, which are used during the orientation: <br />• Helpmates Specialist employee handbook <br />• A sample of a customized orientation brochure, which will be customized specific <br />to the City work place(s), rules and regulations <br />• An example of an Assignment Acceptance Start Sheet which is emailed upon <br />acceptance of an assignment with our assigned Specialists <br />Methods of Approach to Quality, Budget, & Schedule Control <br />Helpmates Quality Control Plan <br />A very important part of Helpmates performance, and ultimately what sets all services <br />apart, is the quality component of our service offering. The Helpmates Quality Control <br />Plan has four (4) vital components, which are outlined and explained as follows (please <br />note that the frequency of meetings mentioned is recommended, but ultimately the <br />frequency will be determined by the City): <br />1. City Quality Control Plan Overview <br />• The RFP, Contract and all pertinent data is retained either on the <br />Helpmates TalentLink System, in confidential files, or both and is <br />readily available <br />• Weekly reports emailed to designated City personnel for quality <br />review, financial data, department usage etc., or as required by the <br />designated City personnel <br />• Monthly/quarterly meetings, as agreed to by the City will include: <br />i. Overall contract compliance review <br />ii. Specific data metrics such as fill rates/refills, etc. <br />iii. Specific goals/objectives for the next month established <br />iv. Establish future meeting date/agendas <br />2. Helpmates Irvine Office Quality Review <br />• Daily Helpmates City team office huddles are held for updates and <br />progress reports on pending or open orders <br />• Communication with City staff daily or as frequently as needed for <br />quality updates and performance feedback <br />• Weekly Key City internal metrics review <br />• Monthly City performance review internally prepared and <br />discussed <br />• Strict adherence to the comprehensive Helpmates employee <br />selection process which is included on page 11 <br />Helpmates Staffing Services 16 RFP 18-009 Response <br />251-120 <br />
