This benefits our clients such <br />that we can truly customize our services to be tailored to your specific needs, but with the resources <br />of a large firm, should they be needed. We have the resources, both in staffing depth and in financial <br />stability to be thoroughly responsive to your needs while keeping projects under budget and on <br />schedule. To use reasonable professional effort to be responsive to the City's needs, Kimley-Horn uses <br />a workload forecasting technique to determine staff availability, known as our cast -ahead process, as <br />explained in greater detail in our Team Organization and Management section, to determine resource <br />requirements by division, office, and region. Our division and regional managers then shift resources <br />and workloads as needed to meet all demand -supply needs. This cast -ahead process enables us <br />to assign the staff and technical resources needed to complete each project on time and to our <br />clients' satisfaction. <br />Responsiveness and Cost -Effective Solutions <br />Responsiveness is much more than proximity or distance ' <br />from your office to the client's office. Responsiveness is 1 <br />providing the client with information on short notice. It's <br />promptly returning phone calls. It's meeting the client's <br />needs. And it's where Kimley-Horn excels. We put our <br />client's needs first. When you call, we will be there. Our <br />senior regional leaders are aware of the City's needs -- <br />and have made a commitment to programming our firm's <br />resources to give your projects a high priority. We strongly / <br />believe that Kimley-Horn's continuing success rests on the <br />strengths of its day-to-day management, vision for the firm, emphasis on quality, and responsiveness <br />to you, our client. We have worked with multiple public agencies on their on -call programs, so we <br />understand importance of providing cost effective solutions in the early stages of design for the City's <br />future projects. Over the last 52 years, the Kimley-Horn team has a proven record of performing on <br />time and within budget. The key to our success in this area is managing the right resources at the right <br />time. We emphasize project management using bi-monthly effort reports that give our project managers <br />up-to-date staffing and expense information related to their projects. This information enables them to <br />continuously monitor the status of project cost, cost control effectiveness, and schedule. <br />Project Cost and Schedule Control <br />Kimley-Horn has an excellent track record of completing projects within or very close to established <br />budgets. The ability to control project costs and schedules throughout the progress of work is the result <br />of a strong commitment to do so, a thorough understanding of the project, and incorporation of this <br />understanding into project design drawings. The ability to control costs and schedules requires many <br />of the same actions and attitudes. Strong communications and use of experienced personnel are two <br />effective cost control mechanisms. <br />Other critical elements play a key role in controlling costs and schedules: <br />• It is essential to develop a clear understanding of the project scope early in the process. A project <br />budget is only as good as the clarity of the underlying scope. Be realistic from day one. <br />• The project team must be well -organized and exhibit good teamwork.
