Based on this task's importance and during the preliminary <br />alignment analysis, our team will back check the utility data <br />and record drawing information with the AutoCAD drawing <br />files and construction plans. This back check procedure <br />is intended to verify that the information from the record <br />drawings and utility data is correctly translated onto the <br />construction plans. <br />Our approach to this stage of the project is critical. We <br />have a firm understanding of how important a proper and <br />thorough search is, and what the impact that any missing <br />or wrong information will have on a project's success and <br />potential for contractor change orders. Therefore, we will <br />also keep an active tracking log of all our requests and data <br />received, when and what was received. We will catalog the <br />data received according to utility location and type/size. <br />Traffic Control <br />Maintaining bus routes, residential, commercial, and <br />emergency vehicle access to the homes and businesses that <br />are located near the project installation route is critical to the <br />project's success. We will use our experience designing and <br />assisting in the implementation of pipelines, both force mains <br />and gravity flow facilities, within residential communities. <br />First, we will consider traffic control techniques to reduce <br />traffic volumes within the project area and lessen the effects <br />of construction traffic. Specific residential access provisions <br />will be explicitly stated on the plans and included in the <br />project specifications. Second, we will develop a phasing <br />plan to restrict the contractor's work to a given location until <br />the improvements at that location are complete. Finally, <br />requirements for residential notifications will also be included <br />in the specifications so that residents will know in advance <br />when work on the proposed storm drain improvements will <br />be performed in the vicinity of their homes. <br />Accurate Base Map Preparation <br />To yield the best possible design and reduce contractor <br />change orders, we will: <br />Maintain a thorough set of record data <br />• Interpret the record data correctly <br />• Correctly translate the record data onto the base map <br />• Field verify the information once the map is created and <br />correct any errors or omissions <br />PROJECT CONTROLS <br />Project Schedule <br />We will prepare and submit an initial schedule with the <br />critical milestones for the major tasks involved in the project <br />to be provided at the project's kickoff meeting. The schedule <br />will be updated and submitted at least monthly. Additional <br />schedules may be provided as directed by the City. We <br />will prepare the schedule in the latest version of Microsoft <br />Project for Windows. <br />Meetings <br />Roger will meet with the City on an average of not less than <br />once a month during preliminary and final design, and as <br />needed during bidding and construction, to discuss work <br />progress, including schedules, budgets, submittal reviews, <br />and overall project status. <br />Depending on the meeting agenda, Roger will be <br />accompanied by our appropriate team member as necessary <br />to attend the meetings with the City. We will prepare the <br />agenda for each meeting, record the minutes of all meetings, <br />and submit a copy of the minutes to the City, for review, <br />within five working days after each meeting, and before <br />distribution. <br />Bi•Weekly Project Status Report <br />We will submit a project status report to the City via email on <br />a bi-weekly basis for appraising and monitoring of both work <br />progress, meeting action items, outstanding data collection, <br />schedule, and budget status. <br />Submittals <br />As described in our approach subsection, we will perform <br />routine and final checks prior to sending any submittal to <br />the City, to verify accuracy, conformance, and integrity of all <br />documents.
