On -Call Engineering Services RFP No. 23-030
Evaluation of existing conditions
Project evaluation and innovation
Concept layouts and reports
Upon notice to proceed, the
appropriate staff will be
assigned by project manager
Othman Elmezain, P.E. to
accomplish the task within
the agreed upon timeframe.
One of the advantages that
our team provides is the
ability to assign the right staff
to each task. Our team can
draw from a multitude of
PROJECT APPROACH
Prior to NTP
u Identify Project Task Order
n Scoping Meeting/Coordination
with City
Task OTderAwarded by City
g Prepare Work Plan, Budget,
and Schedule
Interim site walk and review concept
layout of study findings
• Response to comments
CITY Preliminary Design
NTP a Data Collection and Field Survey of Existing Conditions
» Civil/Tratfic Plans
Utility Coordination
City Department Coordination
Identity Outside Agency Permits
r
Construction Documents
s Civil/Traffic Plans
A Technical Specifications
» Opinion of Probable Cost ..t
disciplines and resources to '
City Approval
complete each assignment —
whether the task is relatively
Signed Deliverable to
minor, requiring only a few City for Bidding Purposes
people in a single discipline, or a complicated task requiring numerous people and multiple disciplines. A
task manager will be assigned to each task, and he/she will work closely with the project manager to get
the project completed on time and on schedule.
A sample scope of services —including anticipated tasks necessary for successful completion,
deliverables, and suggestions for the City —has been provided in Section 2. Scope of Services and
Schedule.
Schedule and Cost Control
As our client references will confirm, Kimley-Horn has an excellent record of completing projects on
schedule and within budget. We have a sophisticated Management Information System (MIS) —including
software such as the CostPoint Engineering Accounting system and Microsoft Power BI—that allows our
project managers to monitor budgets closely. Using the Project Effort Reports generated twice monthly
by our MIS, project managers gain a clear understanding of the project scope early in the process to
develop a realistic, well thought-out work plan. Once the work plan is developed with the stakeholders,
the project manager communicates to the project team the key milestones and submittal dates —
including time for QC reviews —as well as the importance of maintaining the established schedule and
budget. This communication, along with teamwork and organization, results in successful projects and
satisfied clients.
The best approach to keeping a project on schedule is to create a risk register whereby we:
1. Track each potential issue
2. Define the criticality of each potential issue
3. Identify the steps and dates for resolution of each potential issue
This approach holds the team accountable and forms the basis for the sequence of steps each team
member needs to take to reach resolution and keep the project moving forward.
Document Control
We utilize a redundant document control system in which both hard and electronic copies of project
deliverables and significant project communications are filed and tracked by project number and key
words. Our streamlined electronic filing system includes records of meetings and data shared;
Kimley»)Horn GMOC77011.2023 13
