5.4 Project Reporting <br />TriTech will provide monthly written Status Reports advising the Client Project Manager and key Client <br />Project Stakeholders of the progress and status of project activities. This report will include the significant <br />accomplishments, planned activities, issues, and potential risks associated with TriTech and TriTech's <br />Subcontractors' Deliverables. The Project Status Reports will include the following: <br />1. Accomplishments during the Reporting Period. <br />2. Planned upcoming activities. <br />3. Issues. <br />4. Risks. <br />5. Key Action Items. <br />In addition, the TriTech Project Manager will hold weekly status meetings/conference calls to update the <br />Client on the status of the Project and key action items and deliverables. <br />During the course of the Project, one or more Project journals will be created to document Project issues and <br />action items. These journals are product specific and are used by the Project Manager and other team <br />members to facilitate successful Project completion. Project journals are reviewed with the Client during <br />weekly Project status calls and on an as needed basis through the course of the Project. The Project Manager <br />is responsible for providing copies of updated j oumals to the Client Project Manager each month, or upon <br />request. <br />Each month, TriTech will provide an updated Project Schedule in MS Project advising the Client Project <br />Manager of the progress of project activities. The Project Schedule may be lacking the detailed tasks for the <br />Client team, and the Client may add such tasks, owners, and durations to the Project in collaboration with <br />TriTech Project Manager. The Project Schedule will consist of the following: <br />1. Major Tasks and Subtasks. <br />2. Task Responsibility. <br />3. Task Duration. <br />4. Major Milestones. <br />5. Tasks and Subtasks Completed. <br />6. Tasks and Subtasks in Progress. <br />5.4.1 TriTech Responsibilities <br />a) ,Provide a written report of Project status once a month. <br />b) Track issues and action items to closure through product specific journals. The Client will be <br />provided with updated copies of the journal each month, or upon request. <br />c) Conduct project status meetings onsite each month. <br />d) Conduct conference calls every week at a minimum. <br />e) Maintain an up-to-date Project Schedule. <br />f) Ensure participation of personnel in tasks and meetings. <br />5.4.2 Client Responsibilities <br />a) Review and acknowledge the Project status written report and provide feedback within five (5) <br />business days. <br />b) Participate in Project status meetings. <br />e) Ensure participation of personnel in tasks and meetings. <br />16 <br />
