Santa Ana Community. We have named the three proposed workshops as <br />follows: <br />Community Workshop #1 — Gallery Walk (Program Confirmation) <br />Community Workshop #2 —Alternate Concepts (Presentation <br />Concepts + Preferred Concept Selection) <br />Community Workshop #3 — Preferred Concept Presentation <br />(Critique and Final Stakeholder Comments) <br />For all three Community Workshops, logistics are proposed as <br />follows: <br />els+swa will prepare display boards for the Gallery Walk and <br />arrange for delivery to the event site and will take responsibility <br />of setting up the display (we would like the city to store the large <br />display boards "on -site," as they're intended to be used for multiple <br />events, including the Opening Day at the new Memorial Park <br />Aquatic Center); <br />els+swa can provide large format video equipment including <br />screen, projector, and laptop; and <br />els+swa will rely on City of Santa Ana staff to reserve the meeting <br />venue and all other equipment and furnishings necessary to host <br />community workshops. Staff to provide public address system, <br />room set-up with tables and chairs, and all other public gathering <br />needs. <br />Task 1.3.3.1 COMMUNITY WORKSHOP #1 - GALLERY WALK and <br />PROGRAM CONFIRMATION <br />Proposed Agenda for Pre -Workshop #1 Meeting with the SANTAANA <br />PWA, PSD: <br />A. Dates and location of Community Workshops #1, #2 and #3 are <br />agreed upon. <br />B. Basic schedule and outline of Community Engagement Process is <br />discussed and modified, as necessary. <br />C. els+swa will access previous study efforts, documentation, community <br />outreach, stakeholder input, and survey results, and will identify the <br />components needed to maximize usage, minimize environmental <br />impacts, and meet the current and future needs of the community. <br />This shall be presented to the Santa Ana PWA, PSD for review and <br />comment during Pre -Community Workshop #1. <br />D. Discuss proposed agenda for the 90-minute Community Workshop #1. <br />- First 45 Minutes: Open House Format— Visitors walk the room and <br />engage with the els+swa Team, City of Santa Ana representatives, <br />and other stakeholders identified by the City of Santa Ana. <br />Middle 15 Minutes: Brief Presentation by the City of Santa Ana <br />and els+swa. <br />Final 30 Minutes: Resume Open House Gallery Walk. <br />E. Draft Display Boards for the Gallery Walk are presented to the Santa <br />Ana PWA, PSD for review and comment. <br />F. General program for the new Memorial Park East End Master Plan + <br />Reimagined Aquatic Center is discussed and modified as necessary <br />for inclusion in part of Workshop #1. <br />Community Workshop #1: Gallery Walk — Open House Format <br />(Duration 90 minutes) <br />First 45 Minutes: Open House Format — Visitors walk the <br />room and engage with the els+swa Team, City of Santa Ana <br />Representatives, and other stakeholders as determined by the city. <br />Middle 15 Minutes: Brief Presentation by the City of Santa Ana <br />and els+swa <br />Final 30 Minutes: Resume Open House Gallery Walk <br />A. Sign -in Table located near the entry to the room next to first board <br />(Station A); community members sign -in and provide their email and/or <br />mailing address, so they can receive future notices about the project. <br />B. Santa Ana PWA, PSD Table also located near the entry and staffed <br />by members of the Santa Ana PWA, PSD. This will be an opportunity <br />for the Santa Ana PWA, PSD to share with community members how <br />they can engage the design process moving forward and how they can <br />assist with any effort in support of the project, as well as hear concerns <br />about the project. <br />C. Program and Issues Boards are prominently displayed in a room large <br />enough to accommodate size of anticipated audience. Each board <br />location represents an "information station." <br />D. Program and Issues Boards are composed of 1 to 4 panels, each <br />panel is T wide x T tall and are freestanding. Each display is an <br />impressive collection of graphics, images and bullets designed to <br />ignite interest and excitement. Each information station represents a <br />different programming opportunity or design/project issue — all of which <br />typically initiates a robust event of questions, notetaking, information <br />gathering and sometimes "demands" and "absolutes" — and all <br />comments are welcomed and encouraged. Based on what we currently <br />know about the goals and aspirations for the Memorial Park East <br />End Master Plan + Reimagined Aquatic Center project, the Gallery <br />Stations could include the following programming and/or design issues: <br />Station 1 Welcome and Sign -In Station — General information <br />about the "Information Gallery" <br />Station 2 <br />Project Facts: Budget, Schedule, Next Workshop, <br />Owner Contact <br />Station 3 <br />Idea/Suggestion Tree <br />Station 4 <br />USA Age Group Competition Aquatics — Swimming, <br />Water Polo and Masters <br />Station 5 <br />Recreation Swimming and Fitness <br />Station 6 <br />Tiny Tots Aquatics Programs <br />Station 7 <br />Seniors Aquatics Programs <br />Station 8 <br />Learn to Swim and Water Safety Programs <br />Station 9 <br />Special Needs Aquatics Programs <br />Station 10 <br />Building Programming — Meeting Rooms/Birthday Party <br />Room <br />Station 11 <br />Green Design Components and Considerations — LEED <br />and WELL Building Goals <br />Station 12 <br />Adjacent OutdoorAreas — Issues/Connections/Concerns <br />Station 13 <br />Architecture Issues <br />Where should the "front door" be? <br />Where should service access be required? <br />Are there security concerns? <br />Accessibility? <br />Station 14 General Project Issues + Concerns <br />What happens to the existing pool and former site? <br />How long will the project take to build? <br />Can the project be phased? <br />What are the hours of the new aquatic center? <br />These are some of the issues that could be unveiled at the Gallery Walk. It <br />is important to note that each station will be attended by an els+swa Team <br />Member, except for Station A — Welcome and Sign -In Station, which we <br />suggest is attended by two or three City of Santa Ana representatives. <br />Near the mid -point of the Gallery Walk, there will be a brief presentation, <br />kicked off by a Santa Ana PWA, PSD representative who will provide a <br />few introductory remarks, followed by Clarence Mamuyac who will present <br />relevant experience as well as an overview of the public engagement and <br />City review process. Following the presentation, Community Workshop <br />1 — Gallery Walk, will continue. The overall period for the Open House <br />
