Gallery Walk is about 90 minutes with the brief presentation occurring at the <br />45-minute mark. <br />Task 1.3.3.2 COMMUNITY WORKSHOP #2: CHARRETTE PROCESS <br />Presentation and Stakeholder Evaluation of 2 to 3 Concepts <br />Proposed Agenda for Pre -Workshop #2 Meeting with the Santa Ana <br />PWA, PSD: <br />A. Recap of Workshop #1. <br />B. els+swa will present 2 to 3 concepts showing various layouts of the <br />program elements for an initial review and opportunity to comment in <br />advance of Workshop #2. <br />C. Based on the feedback, els+swa may reduce the number of concepts <br />or create an additional scheme — Possibly a hybrid of the concepts <br />presented. <br />D. Proposed agenda for the 90-minute Workshop #2 is discussed and set. <br />First 15 Minutes: Gallery Walk is re -installed from Workshop 1— <br />Community members mingle and prepare to take seats at one of <br />the 10-person tables. <br />Next 20 Minutes: els+swa presents the 2 to 3 Concepts. <br />Next 20 Minutes: Each table, as a charrette team, reviews, critiques, <br />comments on each of the concepts presented and ranks them in <br />order of preference. <br />Next 20 Minutes (Assumes 10, community member teams): Each <br />team's elected captain gives a brief 2-minute presentation of their <br />teams' findings and ranking. <br />Final 15 Minutes: els+swa summarizes findings and welcomes <br />everyone back for the final workshop #3 — the Preferred Concept <br />presentation. <br />Workshop #2: <br />A. Based on the results of <br />the Community Workshop Series, cost estimates, and the final round of <br />input from both Community Workshop #3 and any additional information <br />gathered from the online presence and/or social media sites, and with the <br />agreement of the Santa Ana PWA, PSD, els+swa will finalize the Memorial <br />Park Pool Concept Designs and Cost Estimates for presentation to City <br />Council. <br />Task 2.2 Presentation of Memorial Park Draft Final Master Plan, <br />Aquatic Center Concept Design and Cost Estimate to CMAR <br />for Review and Input. Integrate comments from CMAR and revise <br />documentation as necessary <br />Task 2.3 Presentation of Memorial Park Final Master Plan and Aquatic <br />Center Final Concept Design and Cost Estimate to Commission. <br />Task 2.4 Presentation of Memorial Park Final Master Plan and Aquatic <br />Center Final Concept Desian and Cost Estimate to Citv Council. <br />- Final 15 Minutes: els+swa summarizes findings of the final workshop <br />#3 — the Preferred Concepts presentation. A. <br />Workshop #3: <br />A. Per Agenda established above in Pre -Community Workshop #3 <br />Meeting. <br />Task 1.3.4: Develop an Online Presence and Survey. els+swa will <br />develop content for an online presence for the project which will include at <br />least one survey. The content will be provided to the City's webmaster for <br />uploading. Should web design or code writing be required, els+swa will <br />need to engage a consultant for such additional services. Online presence <br />and the survey will be readily accessible through the City's website and <br />social media accounts. This presence will identify the needs and concerns <br />of residents unable to attend community meetings. An online presence will <br />be available throughout the outreach and engagement process. <br />Task Deliverables <br />1.3.1 els+swa will provide meeting materials, summaries, and notes <br />regarding individual Key Stakeholder input discussions, and list of <br />Key Stakeholders. <br />1.3.2 els+swa will provide meeting materials and summary, Community <br />Outreach Plan, copies of outreach announcements and collateral <br />materials. <br />1.3.3 els+swa will provide promotional materials, meeting materials, <br />summaries, and notes from outreach meetings, photos of <br />workshops and design charrettes. <br />1.3.4 els+swa will provide website content to City website manager/ <br />designer, copies of survey announcements, survey results. <br />Preview Final Concepts presentation with Santa Ana PWA, PSD. <br />Incorporate any final comments into the Memorial Park Final Master <br />Plan and Aquatic Center Final Concept Design presented during <br />Community Workshop #3 and prepare a presentation for City Council. <br />B. In advance of City Council presentation, and if desirable by Santa <br />Ana PWA, PSD, els+swa will preview Final Concept Design with the <br />Mayor, Vice -Mayor and Councilmembers, per Brown Act, as one more <br />check on our Final Concept Design. els+swa will incorporate final <br />comments by council members before the official unveiling of the Final <br />Concept at a formal City Council Session. <br />C. The Final Memorial Park Master Plan and Aquatic Center Concept <br />Design and Cost Estimate are presented to City Council for approval <br />and direction. <br />Task Deliverables <br />2.1 els+swa will provide Final Memorial Park Master Plan and <br />Aquatic Center Concept Design Report and Cost Estimate. <br />2.2 els+swa will prepare presentation for City Council approval of the <br />Final Memorial Park Master Plan and Aquatic Center Concept <br />Design Report and Cost Estimate. <br />
