Phase 2 - Construction Services <br />TM-'. " Scheduling <br />We will review the contractor's schedule to confirm the <br />project is in accordance with the contract document <br />requirements. We will complete the following tasks <br />associated with confirming the overall schedule: <br />• Review the contractor's schedule to determine <br />that it is properly prepared, that the milestones <br />dates meet the overall schedule, and that there <br />are no major conflicts. <br />• Review progress against the approved schedule <br />to adequately record work -in -place, detect <br />potential delays, and review the contractor's plan <br />for implementation of remedial measures, when <br />appropriate, to recover or maintain progress. <br />• In conjunction with the City, negotiate schedule <br />adjustments with the contractor, which may be <br />required due to weather, change orders, or other <br />impacts requiring schedule adjustments. <br />Alternatively, if requested by the City, Cannon will <br />develop a schedule that details the work phases <br />to be completed, the task to be accomplished, the <br />deliverables to be provided, and the schedule/ <br />timeline to complete the project, based upon the <br />requested Scope of Work details in Attachment 1 <br />of this RFP. <br />T--�� 2.2 - Progress Meetings <br />We will conduct weekly progress meetings with <br />the contractor and the City representatives. These <br />meetings will include the following tasks: <br />• Review progress and quality of work. <br />• Review submittal and RFI logs. <br />• Notify the attendees of construction deficiencies. <br />• Discuss labor, material, and equipment related to <br />• upcoming work. <br />• Address team coordination matters. <br />• Review maintenance of "as -built" drawings <br />throughout construction. <br />• Conduct each meeting according to a published <br />agenda and prepare and promptly distribute <br />meeting summaries. Meeting summaries will <br />detail action items, the discussions that ensued, <br />and announce the time and date of the next <br />meeting. <br />Task 2.3 - Special Meetings <br />We will attend and conduct up to ten meetings with <br />the project team and contractor to address special <br />issues such as pre -submittals, mobilization of major <br />subcontractors, change order negotiations, and <br />startup. <br />Task 2.4 - Project File Database <br />We will provide a web -based, centralized document <br />system using PROCORE. The development and <br />implementation of the centralized document system <br />will include the following: <br />• Design of the centralized document system to <br />support project file database. <br />Procurement of the software and licenses <br />for the system. We will administer the project <br />database by establishing access and read/write <br />permissions to the City, contractor, and design <br />engineer. <br />Documents to be tracked in the system include the <br />following: <br />• Project drawings <br />• Project specifications <br />• Drawings and specification addenda <br />• Correspondence <br />• Submittals/shop drawings <br />• Requests for information (RFI) <br />• Change orders and change order requests <br />• Meeting agendas and meeting summaries <br />• Daily reports <br />• Daily Photos <br />• Inspection reports <br />• Testing reports <br />• Project schedules <br />• Progress payments <br />• Permits <br />• Warranties <br />
