We will retain all data until it <br />has been deleted from our systems. We can remove data from our systems upon <br />written request from the customer at termination of the contract. <br />ASM <br />Not available. <br />Salesforce <br />Salesforce customers are responsible for complying with their company's data retention <br />requirements in their use of the Salesforce Services. If a Salesforce customer must preserve data <br />and the retention procedures above are insufficient, they may schedule a weekly export of data or <br />copy to a sandbox account. Exports of Customer Data are available in comma separated value <br />(.csv) format by request via Salesforce's Customer Support department. In addition, many exports <br />can be manually pulled by the designated org administrators. <br />ServiceNow <br />Once notified ServiceNow has the ability to leverage our internal clone operation process. This <br />provides a locked state copy of the instance, while the customer can continue working on the <br />production instance. Any data additions, changes or deletes will be on the production but not on <br />the frozen instance copy. <br />Additionally, ServiceNow can freeze backups to prevent them from being over written. <br />Docusi n <br />DocuSi n customers determine their retention policies. <br />QTS <br />Yes QTS will work with customers to meet legal requirements. <br />SAP <br />Ariba <br />For the network's standard record retention is 180 days, but customers can <br />request longer terms. <br />Fieldglass <br />Fieldglass has many methods in which we can freeze customer data, today. <br />We have the capabilities to restore, utilizing a point in time recovery method to <br />a secondary system for legal review effectively delivering a system that has <br />been frozen in time for all clients. <br />Hanna <br />HEC standard backup retention is 1 month for productive systems, and 14 <br />days for non -productive systems. However retention period can be changed <br />per request and may have cost impact. <br />SuccessFactors <br />A customer can configure as many ""purge rules"" as required to comply with <br />data privacy rules. Since these rules vary by country, the solution provides the <br />flexibility to define different retention periods for groups defined by country, <br />department, division, location, job code and hire date. <br />Customers can grant permissions to the appropriate users to create a request <br />to purge data and to approve the request to purge data. These ""purge rules <br />can be scheduled to reoccur. User records are kept in the system, for <br />reporting purposes, but their data is anonymized. Our customers use the <br />solution in compliance with local regulations today in almost 180 countries. <br />VMware <br />VMware IaaS Services <br />Participating entities that leverage VMware Data Protection are able to specify the retention period <br />of their backups to comply with policies and legal requirements. Data Protection leverages <br />snapshots to take an image level backup of virtual machines. When a backup is initiated, a <br />snapshot is taken of that virtual machine. Once the snapshot is taken it is then stored on the Data <br />Protection storage for the duration of the retention period assigned in the policy. The policy column <br />in the screenshot below illustrates the variety of data retention policies that have been set within a <br />sample customer's vCloud Air Data Protection instance.
