Attachment B <br />Information and Referral Network System — As a public information call center that provides <br />information about local resources, we maintain comprehensive information about service <br />providers of all types: national, state and local government, community based organization and <br />faith based organization. We access our provider data from our network system that is set up ino <br />our facility to access our internet based system called WebInform. To access this valuable <br />information we want to expand our network system with the disaster database feature and code <br />relevant resources related to disaster for ease in access. <br />To do this database preparation which involves developing and updating records about services, <br />we access and maintain the database through computers. For maintenance of disaster resources in <br />our database and providing our referral services during small and large scale disasters 6 new <br />desktop computers outfitted with windows XP software is requested. The expanded network <br />system will be used for information and referral services our call center provides on a daily basis, <br />they will be the key systems accessed for updating our database with disaster related resources <br />and they will be used for training exercises related to disaster response within our operational <br />system of service delivery. Prior utilization of this network system will ensure Call Center <br />readiness with reliable equipment. <br />Depending on the nature of the disaster and our operational adjustments, we want to be prepared <br />for offering our service at remote locations as we did with OperationOC during the local Katrina <br />evacuee response effort, as well as alternative site service delivery for overflow call volume from <br />our existing facility. For preparation purposes, training and during remote or expanded service <br />delivery 6 laptops that contain wireless connectivity capability (WiFi) or Hot Spot capability are <br />being requested. Wireless connectivity to the existing server in our facility and to the server at our <br />redundancy site will be installed. Laptops are easy to store, mobile and cheaper for preparedness <br />of this level. Laptops will be loaded with the static disaster database each month and "exercised" <br />by staff to ensure the equipment if function well and prepared if needed to be used during a full <br />blown disaster. The laptops will also help support our Message Display System for visually <br />displaying key updates in the call center for call handlers to see easily. <br />Disaster Preparedness Kits — Basic disaster preparedness kits for office (flash lights, minor <br />medical aid kit), plus disaster preparedness kits for core staff to have in cars at all time in event <br />not able to come to main office — kit to include things such as basic office supplies, emergency <br />contact list, Mutual Aid Agreement contacts for other county's, all supplies necessary to set up a <br />field I &R service. If unable to come to our facility the need for this basic information is critical <br />for promoting our efficiency in setting up remote service at either our redundant service site or at <br />an alternative site based on the nature of the situation. <br />Initial Disaster Database Coding — Many disaster related resources already exist in our <br />comprehensive database, however more exist and new features will allow for coding each disaster <br />related service into a focus page also called a static disaster database specific to resources needed <br />during a disaster. These costs will contribute to the internal - system coding of the database <br />resources necessary to develop the disaster database. This requires staff time; however it would <br />be project specific for the coding of these resources. Staff time would be tracked specific to this <br />task of resource identification, determination of the proper code to use which is part of an <br />industry required coding set of resource codes, acquisition of new resources and updates to <br />disaster related resources. Staff time would be provided in a final report along with a report on the <br />number of services coded into the database as a deliverable to this award. <br />
