Part B — CENTIGRAM Voicemail System <br />System Maintenance Related Charges: <br />a. Voicemail Port Charges on a cost per port basis and then on the assumption of 40 <br />ports. <br />Note: The Voicemail port count will be verified annually before the beginning of each <br />maintenance agreement year. Additionally, should the voicemail port count change at <br />any time during the course of the maintenance contract year (either up or down), the <br />port charge portion of the next monthly invoice will be adjusted to reflect the new port <br />count. <br />b. Voice Process System charges. <br />c. Any other charges not otherwise identified above. <br />Miscellaneous Charges if Proposer intends to bill for these: <br />a. Travel Time <br />b. Billable MAC work <br />c. Any other related charges that a Proposer would bill the City must be identified and <br />explained. <br />Purchase Discounts: <br />a. Provide the minimum discount on Equipment /Parts /Supplies not otherwise covered by <br />the Agreement that the City might purchase from or through the Vendor. <br />7.0 THE PROPOSAL EVALUATION AND SELECTION PROCESS <br />To assess qualifications in providing telephone system maintenance services and to determine <br />the strength and stability of the Proposer, every Proposer is requested to complete and submit <br />the Proposal Response Form (Appendix A) or to submit a separate response which addresses <br />each item cited in Appendix A for which they are proposing. <br />Step 1. <br />The City's procurement process is based upon open competition through a defined evaluation <br />and selection process. There are required inputs and deadlines to which <br />there are no exceptions. The City will ensure that all Proposers strictly abide by these. <br />It is the Proposer's task to demonstrate its ability to perform the specific services and <br />provide the specific products identified in this RFP. <br />Based on the information provided on the Proposal Response Form (Appendix A), each of <br />the Proposers will be evaluated by a City selection team as to their qualifications and will be <br />assigned a score from 0 -100 (100 being best). <br />Note that proposed price is only one of several criteria. It is not the City's intention to <br />exclude very high bids or to automatically award an agreement to the Proposer of the <br />lowest price for services. <br />The City is attempting to get the best balance of service, value and price. The selection <br />recommendation will be based on the accumulated point score for all criteria.
